Prepare For A Quote

Good photos and a few room measurements make it much easier to price the right aircon the first time. This guide shows what to send so we can quote accurately for homes, offices and small commercial spaces across Gauteng.

Prepare For A Quote

Start With The Room, Not The Unit

When you ask for a quote, the room details matter more than the model name you think you want. A 14 m2 bedroom in Sandton does not need the same setup as a 42 m2 open-plan office in Midrand, and coastal-style humidity in some Gauteng properties can change the load on the system too. If we know the room size, ceiling height, window area and what the room is used for, we can size the aircon better and avoid costly guesswork.

For homes, the most useful starting point is simple: one room at a time, with the ceiling height and whether the room gets morning sun, afternoon sun, or very little direct sun. For offices and shops, tell us how many people use the space, what equipment runs inside it, and whether doors open often. A server room, a reception area and a boardroom all ask for different treatment.

If you are in Johannesburg North, Randburg, Fourways, the East Rand or the West Rand, mention the area as well. Access, parking and mounting height can affect the installation plan and timing.

Measure The Space Properly Before You Send Anything

You do not need a technical report. A tape measure, your phone and a few notes will usually do the job. Measure the room length and width in metres, then add the ceiling height if it is above standard. If the room is irregular, take the longest and widest points and say that it is not a simple square room. Small details help a lot, especially in older homes where ceilings, bulkheads or beams change the install.

  • Length and width of the room in metres
  • Ceiling height if it is higher than 2.4 m
  • Window size and how many windows there are
  • Whether the room faces north, west, east or south
  • Type of room, such as bedroom, lounge, shop floor or office

If you are replacing an old unit, send the size of the old unit and where it is mounted. If you can see the model plate, a photo of that plate helps a lot. It saves time, and avoids quoting a unit that is too small or far too powerful for the space.

Take The Right Photos From The Right Angles

Photos often speed up quoting more than anything else. We need to see the whole room, the wall where the aircon may go, and the outside wall or roof area where the outdoor unit could sit. A single close-up is not enough. Step back and take wide photos so we can judge access, distance and likely pipe routes.

Please send clear photos of any of these, if they apply to your site:

  • The full room from one corner and then from the opposite corner
  • The preferred indoor wall, with curtains, cupboards or shelving visible
  • The outside wall, balcony, flat roof or yard where the outdoor unit may go
  • Existing units, wiring, drainage points and old pipe runs
  • Any ceiling boards, bulkheads or features that may get in the way

For commercial sites, include photos of the passageways, roof access, security gates and any area where ladders or lifting equipment may be needed. If there are body corporate or landlord rules, mention those before we book a site visit. That stops delays later on.

Tell Us What The Room Actually Does

We quote differently for a quiet bedroom, a kitchen, a conference room and a workshop. Heat from ovens, printers, servers, glass frontage and strong afternoon sun all change the size and type of aircon needed. In a home, even a west-facing lounge in Johannesburg can need more cooling than a similar room on the shaded side of the house. In offices, occupancy matters just as much as floor size.

Please include any of the following if they apply:

  • How many people use the room daily
  • Whether there is cooking, printing, computer equipment or machinery
  • Whether doors stay open for long periods
  • Whether the room must stay cool during load-shedding with inverter or solar support
  • Whether heating is also needed in winter

If you need a heat pump or atmospheric water generator with the aircon quote, say so upfront. We can plan the supply and fit work together, which is usually easier than splitting the jobs and then finding out the pipework or electrical point is in the wrong place. A little prep here saves a lot of back and forth.

Check The Basics Before You Ask For A Price

A few quick checks can prevent delays and surprise extras. First, confirm whether there is already a power point nearby and whether the existing electrical supply can handle the new unit. Second, check whether the wall is solid brick, hollow block or plasterboard, since that affects mounting. Third, look at drainage. An indoor unit needs a safe way for condensate to leave the room, and not every wall gives you an easy route.

For replacements, tell us if the old unit still works, if it leaks water, or if it trips the power. For relocations, say where it is coming from and where you want it moved to. If the current unit is very old, the pipe size or line length may not suit the new installation and we will need to factor that in from the start.

In flats and sectional title properties, please check the building rules before you ask for a final install date. Some schemes want written approval for exterior brackets, visible pipework or roof access. That simple step can save a lot of back and forth with trustees, which nobody enjoys.

Send One Clear Message So We Can Quote Faster

The cleanest quote requests are usually the shortest ones because they include the right facts. Send the room measurements, a few clear photos, your area, and tell us what you need: supply and fit, replacement, relocation, service or repair. If the property is in Sandton, Midrand or anywhere else in Gauteng, include the suburb and whether parking is easy or limited.

You can also add your timing needs. If you want the work done before guests arrive, before a tenant moves in, or before the office opens on Monday, tell us. Where possible we will plan around it. For commercial customers, one site survey can often cover several units, which makes pricing more accurate and keeps the work moving.

For the fastest response, keep your message in this order:

  • Suburb and property type
  • Room size and ceiling height
  • Photos of the inside and outside areas
  • Type of work required
  • Any access, electrical or body corporate notes

The better the first message, the better the quote. It is that simple, and it helps us give you the right answer without guessing.

Questions we get asked

Do I need exact room measurements before asking for a quote?

Exact measurements are best, but rough length and width in metres are usually enough to start. Photos and a short note about what the room is used for help us refine the quote.

Can I get a quote from photos only?

For many standard rooms, yes. If access is tight, the job is a replacement, or the site is commercial, we may still suggest a site survey before confirming final pricing.

What should I include if I want a replacement quote?

Send the room size, photos of the current unit, where the outdoor unit sits, and tell us if the old unit leaks, trips or no longer cools properly. If you know the unit size, include that too.
